Bookings and Deposits

The sending of the on-line booking form confirms your acceptance of the terms and conditions set out below and shall be binding on all persons stated on the booking form. Once the owners have confirmed the booking to you and you have paid the deposit of 20% of the rental charge, the named person on the booking form will be responsible for the total rental price of the property, as agreed.
The remaining balance of the agreed rental cost must be paid eight weeks prior to the commencement of the rental period together with the damage deposit. If the booking is made within 8 weeks of the start of the rental it must be accompanied by the full holiday cost. If the full balance of the rental cost is not paid as in accordance with these booking conditions, we reserve the right to cancel your booking. In these circumstances your reservation deposit will be forfeited. All bookings must be on the form(s) provided on the website, signed and accompanied by a non-refundable deposit cheque made payable to the owner for 20% of the rental charge.
The person, who completes the Booking Form certifies that he or she is authorised to agree the Booking Terms and Conditions on behalf of all persons included on the Booking Form, including those substituted or added at a later date and must be a member of the party occupying the property. Bookings cannot be accepted from parties of young people under 21 years of age. The completed booking form must show the names of all persons that will be staying in the villa, including infants and children.

Damage Deposit

A refundable security deposit of £200 or $300 USD in the form of a separate cheque is payable when you make the final/full payment. Your security deposit will be returned to you within 4 weeks of your return home, subject to confirmation with the management company that the villa and its contents are in the same condition as on your arrival. Any damage, breakages, excessive use of utilities or leaving the villa in a state that requires extra cleaning will be made good using your security deposit. There will also be an administrative charge. If we find evidence that there has been smoking at the villa, all security monies will be forfeited.

The Guest is solely responsible for any damage or breakages beyond wear and tear that may be caused to the property and/or to its contents, and also for any loss of items in the inventory during their stay. Upon arrival, the Guest should immediately report any damage to the Management Company who will do their best to assist and rectify the matter as soon as is practically possible.

Accommodation.

Rental of the villa is normally for periods of 7 days and includes heating/air-conditioning and lighting. The number of people in the villa is strictly limited to those named on the booking form and up to the maximum stated. Everyone occupying the property must be listed on the booking form, including small children. This is Florida state law and must be adhered to.
The accommodations cannot be shared or sub-let and only the persons shown on the booking form are permitted to stay in the property. Persons under 21 years of age are only acceptable if accompanied by parents or responsible adults. The property is fully licensed for short-term rentals in Florida .
The owners reserve the right to refuse admittance if this condition is not met. Failure to comply will render the booking void and no compensation will be paid.
The villa is available from 4.00pm on the day of arrival and must be vacated by 10.00am on the day of departure.

Florida Guest Regisration Requirements

It is a legal requirement to register under Florida state law the number of people occupying the property and this will be done prior to your arrival. Our Booking Form must be completed listing all guests. This will be forwarded to our Management Company to comply with Florida State law.

Departure

Please ensure that all trash/rubbish is collected and placed in garbage bags in the kitchen area or in the trash can outside.

Please place dirty dishes in the dishwasher and start a wash cycle – please do not leave plates with food in the kitchen sink.

If you have time, please strip ALL USED BEDS and place all DIRTY linen and towels in the laundry area and start a wash cycle. Please ensure there are no wet towels left in the bedrooms or on the pool deck area.

Ensure that all lights/TV’s are turned off and exterior doors/windows locked.

If guests leave the villa in a state that requires extra cleaning this will be made good using your security deposit. There will also be an administrative charge.
BBQ

For health and safety reasons we do not supply a BBQ. If a BBQ is required our Management Company will supply one for a small fee. The BBQ will be delivered and positioned outside of the pool cage near the door. The BBQ will be collected at the end of your holiday. Under NO circumstances must the BBQ be brought into the pool cage as this is a fire risk.

Keys

The Guest is responsible for the safe return of the key for the property. If the key is not returned or is lost, the full replacement costs plus change of lock costs will be charged.

Fixtures and Fittings

Charges for damages, losses or any maintenance or repairs to equipment, amenities or fixtures, or any cleaning services over and above those normally required to prepare the villa for the next guest will be at the discretion of the Owners and Management Company and will be deducted from the Damage Deposit. Under no circumstances are any fixtures and fittings to be removed from the villa. Should an inventory check show items missing the full replacement cost will be charged.

Cancellation by Client

If you cancel your booking once it has been confirmed by us we must be informed in writing. Where such notice in writing is received the following cancellation penalty percentage rates of the Total Rental Fee (amount shown on the booking confirmation) will apply:

More than 42 days from departure: 20% deposit.
42 days and less from departure: 100% total cost.

In both cases the damage deposit of 200 pounds (or $300) will be returned to the client.

If we cancel or amend your booking

We would not expect to have to make any changes to your booking, but sometimes problems occur and we do have to make alterations or, very occasionally cancel bookings.

If this does happen, we will contact you as soon as is reasonably practical and inform you of the cancellation or the change to your booking and, if it is necessary to cancel your booking, we will refund the balance of any money you have paid us.

Smoking

For reasons of safety and insurance smoking is not permitted in the villa. In the event that this is not adhered to then neutralization of smoke odours from cigarettes, or other smoking materials will be required. The cost of this service will be deducted from the Damage deposit. If burn marks from cigarettes, or other smoking materials are detected, the cost for repair of the burn marks will be deducted from the Damage Deposit.
In the event that any damage or loss is assessed to be in excess of the amount of Damage Deposit collected, the Guest will be held responsible for full reimbursement of the outstanding amount and agrees to pay said amount within twenty-one (21) days of written notification of such by the Owners.

Swimming Pool

Our pool depth is from around 3 feet to around 5 feet. Our pool is regularly inspected, cleaned and maintained. Children must be supervised by responsible adults at all times when using the pool. Glass or crockery is not permitted within the pool area.

The pool is cleaned and chemically balanced every week for pool safety and comfort; however on isolated occasions it may be necessary to apply extra chemical to the pool to ensure safe and correct chemical levels. If this occurs during your stay it will be necessary for you to be out of the pool for a period of 12-24 hours for safety reasons. Please note that the Management Company nor ourselves can be held responsible for this.

The pool may show signs of dirt after stormy weather. Guests using the facilities are expected to use the net provided in between weekly services to keep the pool clean. Any major concerns are to be reported to the Management Company.

Pool Heating

Pool heating may be required for stays between October & May (but can be ordered for any month, to your choice) and must be requested on the Booking Form - there is a 4 day minimum period for pool heating.

Depending on the weather conditions the water can take some hours to reach optimum temperature.

Pool heaters are made up of electrical and mechanical components, which can malfunction. The owners’ and Management Company will not be held responsible for the failure of any of these components. The Management Company will investigate and then attempt to remedy any malfunction as soon as is practicable. Guests should inform the Management Company immediately they suspect that the pool equipment is not working.

Pool call outs are only normally carried out during daytime working hours. Should the Management Company receive a report of a malfunction of the pool heater and this be verified, then the party leader will be refunded by the owners or Management Company for each full day lost commencing from the day the problem was reported, with no further compensation.

The efficiency of any pool heating is affected by the ambient external air temperature, especially in the winter but also in cooler months or when Florida is experiencing unusually cold weather. If guests complain about the temperature of the water and the heater is found to be operating correctly, but not providing sufficiently heated water due to the low local ambient air temperatures, neither refund nor compensation will be given. In such circumstances where the Management Company have been requested to make an emergency call out over the weekend or outside of normal working hours then the party leader will be charged for the non emergency attendance.

Where pool heating has been ordered in advance it is turned on the morning of the day that guest arrives. If pool heating has not been ordered and the party leader decides to order it after their arrival at “Silver Palms”, it can take up to 24 hours for the pool to heat up, dependent upon the time of year and the outside ambient air temperatures. Payment by credit card must be made prior to the heating being supplied.

Guests should remove all sun screen products before entering the pool as any continuous contamination of the water as a result of such products will contribute to the need for the water to be shocked, thereby preventing guests from using the pool for several days.

Animals

No pets of any description are allowed in the villa at any time.

Insurance

We have taken every care to ensure you have a most enjoyable holiday in our villa. However, please note that we do not accept any liability for any accident, injury or loss caused to persons or personal effects by any reason or any claim made as a result of this booking and the stay at our villa through the rental period. The use of all accommodations and amenities including the pool is entirely at the user's own risk. Children must be supervised by responsible adults at all times when using the pool. Glass or crockery is not permitted within the pool area.

The owners do not accept any liability for injury, death, damage or loss caused to persons or personal effects for any such claim by a third party as a consequence of actions by the client(s) and other people occupying the property during the rental period.

The client is responsible for obtaining insurance policies to cover all risks. This waiver is also applicable to people visiting the property as guests of the client. It is therefore advisable to take out insurance to cover yourself for injury, loss of property, third party liability and adequate cancellation or holiday insurance either through your insurance broker or travel agent.

Etiquette

Solana is a gated vacation resort. The actions of all members of your party should not interfere with the enjoyment of other holidaymakers. Please do not use the swimming pool or play loud music or engage in any activity which may cause inconvenience to your neighbours after 11.30pm or before 07.00am.

This is a beautiful villa, so spacious and so beautifully furnished. We were blown away when we first walked into the property, everything was perfect, even down to the dining table which was set for our first meal. All the rooms have been carefully furnished, the master bedroom and ensuite is so pretty and the bath is huge! There is storage and Tv's in every room and enough bathrooms for everyone!!! The pool is very private, the owners have grown a hedge around the outside of the netting meaning you are not overlooked by the neighbours, we also had a very discreet pool-man because it was maintained throughout our stay but we never saw him :o) We paid for the pool to be heated and it was perfect. The Solana resort is a beautiful gated community, it felt very safe and secure. It was well maintained and even though we didn't spend time in the clubhouse (because we loved the villa too much!) it looked lovely and all the staff were very friendly. The location of this villa means you are only a short drive to Disney. There are plenty of restaurants nearby and the Posner Park shopping complex is only 5min drive away. This really is a wonderful villa and I would definitely recommend. Wells Family from UK April 2014
